This Privacy Policy describes how BetterBizz ("we", "us", or "our") collects, uses, protects, and discloses your information when you use our mobile applications, websites, and associated services (collectively, the "Services").

2. Information We Collect

Information You Provide to Us

• Account Information: Name, email address, and authentication credentials via email or Google/Microsoft OAuth.
• Media and Content: Audio/video files and URLs uploaded for transcription.
• Calendar Data: If authorized, we access event titles, times, and meeting URLs to enable auto-join features.

Device Permissions You Grant

We only access these when you actively use the related feature, and only for the purpose described below. You can decline or revoke each permission in your device settings at any time.

• Microphone: Accessed only while you are recording audio in the app, so we can capture the recording you choose to transcribe. We do not listen in the background.
• Photo Library / Photos: Accessed only when you select an image — to set your profile picture (avatar) or to extract text from an image (image-to-text). We access only the photos you specifically choose; we do not scan your library.
• Saving to Photos: With your permission, exported or processed media can be saved back to your photo library at your request.

3. Data Protection and Security Mechanisms

To ensure the safety of your sensitive information, we implement the following technical security measures:

• Encryption in Transit: All data exchanged between the application and our servers is encrypted using Transport Layer Security (TLS 1.2/1.3) protocols.
• Encryption at Rest: Sensitive data stored on our systems is protected using AES-256 bit encryption.
• Data Isolation: User content is logically separated to prevent unauthorized access or cross-contamination.
• Secure Infrastructure: Our services are hosted on secured cloud environments with regular security audits and monitoring.

4. Third-Party AI Integrations

BetterBizz utilizes specialized third-party AI providers for core features. We ensure that these integrations maintain the highest level of data confidentiality:

• AssemblyAI: Used for speech-to-text transcription. Audio data is transmitted via secure API and is not stored permanently by the provider.
• Cloud AI services: Used for text analysis, summarization and image understanding.
• No Training Clause: We have strict agreements ensuring that your data is never used by third-party AI providers to train their machine learning models.

5. How We Process Your Information

We process your information to provide core functionalities like transcription and summarization.

Google User Data

If you connect your Google Calendar, we only access the metadata necessary to identify upcoming video conference meetings. We do not store your entire calendar history, and we do not share this data with third parties for advertising or profiling purposes.

6. End-to-End Encryption (E2EE)

With E2EE enabled, your recordings and transcripts are encrypted locally. Zero-Knowledge: We cannot access or read E2EE-protected files on our servers.

7. Data Retention and Your Rights

You can manage your data directly from the app. Account Deletion: You can delete your account at any time, which triggers the permanent removal of all associated data from our servers.
